1. Who we are and what this policy covers
Jan Sevak EMS ("we", "us") provides a public website, voter management and office CRM to elected representatives, leaders and their offices ("offices"). This policy covers: this website jansevakems.com, the "Jan Sevak EMS" Android app, and how we handle the data of the offices that use the service.
Each office has its own website and CRM (for example name.jansevakems.com or its own domain) with its own privacy policy. The office decides which data it collects about citizens, voters and its staff, and why. For that data the office is the Data Fiduciary under the Digital Personal Data Protection Act, 2023, and we act only as its Data Processor.
2. Data we collect on jansevakems.com
When you send the contact form, we receive:
- your name and mobile number
- your email address, your role and your place, if you give them
- your message and your consent to be contacted
- the internet (IP) address of your connection and the time, to stop misuse of the form
3. Why we use it
- to reply to your enquiry, arrange a demo and send you an offer
- to keep a record of our conversation with you (status and notes of the enquiry)
- to protect the website against spam and abuse
We do not sell or rent your data, do not use it for advertising, and do not use advertising or analytics trackers on this website.
5. How long we keep it
We keep an enquiry while we are in touch with you about it and as long as needed to follow it up. You can ask us to delete it at any time (see section 11). If you become a client, the agreement and billing records are kept for as long as the law requires.
7. The "Jan Sevak EMS" Android app
The app opens the website of the office you choose. When you type an office code, the app asks jansevakems.com for that office's web address; this request carries only the code and, like every connection, your internet (IP) address. The app remembers the chosen office on your phone. The app itself does not collect your name, contacts, location or other personal data.
Everything you do after that (signing in, the help desk, forms) happens on the office's website and falls under that office's privacy policy.
8. Data of the offices that use the service
As the Data Processor of each office, we:
- keep every office in its own separate installation and database
- process the office's data only to run the service for that office, on its instructions and under our agreement with it
- do not look at the office's data except when the office asks for support, when it is needed to keep the service running or secure, or when the law requires it
- never sell the office's data or use it for our own purposes
- at the end of a subscription, make a final encrypted backup and then delete the installation, as agreed with the office
9. Outside services an office can switch on
Each office decides whether to use these services, with its own accounts. When it does, the data needed for that service is sent to the provider, and the office's own privacy page says so:
- one-time sign-in and verification codes by email, WhatsApp or SMS (for example Meta, MSG91, Fast2SMS, 2Factor): the mobile number or email address and the code
- WhatsApp messages and the automatic WhatsApp assistant (Google Gemini AI): the message text and, for the assistant, details of the sender's own requests
- YouTube videos, Facebook page import and Google Analytics on the office's public website
10. How we protect data
- all connections use HTTPS encryption
- passwords are stored only as secure hashes; service keys are stored encrypted
- backups are encrypted; access to the servers is limited to our own team
- every office's documents and citizens' attachments can be opened only by that office's signed-in staff
No system is completely secure. If a personal data breach happens, we inform the affected offices and, where the law requires, the Data Protection Board of India and the people affected.
11. Your rights
Under the Digital Personal Data Protection Act, 2023 you can ask for a summary of your personal data we hold, have it corrected, completed or deleted, withdraw your consent, nominate another person to act for you, and raise a grievance. Write to the contact in section 14.
For data held by an office (for example a help request or your voter details), please contact that office first: it decides about that data. We help the office answer you. If you are not satisfied, you may complain to the Data Protection Board of India.
12. Children
This website and the contact form are meant for adults. We do not knowingly collect data of children (under 18) on this website.
13. Changes to this policy
When this policy changes, we update this page and the "Last updated" date at the top. Important changes are also told to the offices that use the service.
14. Grievance Officer and contact
For any question, request or complaint about your personal data, write to us. We reply as soon as possible and within the time the law requires.
